Support Specialist Assistant

POSITION SUMMARY:
This position will assist the operations team in all aspects of onboarding and traveler support including credentialing, documentation management and payroll-related communications and support. The goal of this position is to begin as a support role, and to lay the foundation for the assistant to grow into the full operations support role.

REQUIRED QUALIFICATIONS:   
 
  • Bachelor’s degree preferred, or 2 years relevant experience
  • Acute Care industry or healthcare related experience preferred but not required

  • Attention to detail and excellent organizations skills required.
  • Entry-level position; administrative, payroll or HR experience a plus.
  • Critical thinking skills essential in daily execution of duties.
  • Ability to effectively use required technology including excel, word processing, internal Applicant Tracking System and onboarding platforms as well as client Vendor Management sites.
  • A sense of accountability to the traveler experience and success of the team at large.
  • Professional approach and demeanor at all times.

DUTIES AND RESPONSIBILITIES:
           
  • Maintain a traveler-focused approach that focuses on problem-solving, accountability and customer service in all interactions.
  • Document management during the onboarding process, including but not limited to:
    • Resume formatting and capture of work and education histories at time of submittal.
    • Assist Support Specialists in the initiation of the compliance process including preparing background checks and resumes for client audit, gathering required documentation, and enrolling RN/LPN candidates in Nursys e-Notify.
    • Assist Support Specialists in careful review of resumes, licensure and all credentials for accuracy and validity.
    • Filing credentials documents accurately and in a timely manner.
    • Organize candidate documentation in Share Point according to established naming conventions.
    • Upload documents accurately each week to Bullhorn for expiration tracking according to the credentials required while on assignment.
    • Upload validated credentials to client VMS accurately and according to specific client requirements.
    • Provide outreach to candidates for expiring items and appropriate follow up (ordering screenings and competencies, filing results appropriately).
    • Accurately complete I9 documentation as required by law, including video conference calls to complete identity verification.
    • Once onboarding is completed and the Support Specialist moves candidate to “ready to start” the Specialist will complete an audit to ensure all documents are filed and saved appropriately.
 
  • Payroll Support
    • Support travelers on assignment when they have questions, concerns or issues related to their payroll and timekeeping.
    • Escalate technical questions to Support Specialist and/or accounting team but maintain communication and provide customer service to traveler directly.
    • Request and collect missing timekeeping documents for travelers each week including time substantiation, receipts and missed shift attestations.
    • Assist in basic access and technology issue resolution for iSolved, BTE and vendor platforms.
    • Ensure onboarding documentation required for payroll enrollment are completed and saved in locations accessible to accounting team.


EXPECTATIONS AND KEY PERFORMANCE INDICATORS:
  • Resume turnaround time is same day, ideally <2 hours.
  • Maintenance, outreach and updating of all credentials expiring in next 30 days.
  • Credentials tracking in Bullhorn >90% complete for all travelers on assignment.
  • Upload of credentials to VMS each day, more often if required by traveler’s compliance deadline.
  • Completion of all tasks by assigned deadline.

WORKING CONDITIONS:
  • This is an in-office position for training and will convert to hybrid schedule after 90 days if competencies are met.
  • Essential physical requirements include, but not limited to, standing, sitting, walking, bending, reaching, lifting (up to 20 pounds), and typing.
  • Prolonged periods sitting at a desk and working on a computer.
  • The office schedule is from 8:30 am to 5 pm, Monday through Friday, but there may be times when you will need to work weekends, nights, or be on-call as a regular part of the job.
